How API Integration Automates Business Reporting
An API integration connects an existing business system to Smart Report so approved data can arrive without exporting and importing every file manually. The goal is not technology for its own sake, but a more reliable and current reporting process.

Identify a process worth automating
A good candidate is a source that regularly produces records with the same structure, such as invoices or sales lines. If employees repeatedly perform the same export, rename, and import steps, automation can remove unnecessary repetition.
Before connecting, define the data owner, target Smart Report table, required fields, and transfer frequency. A poorly defined workflow does not become reliable merely because it is automated.
Restrict access to what is required
A CompanyOwner or CompanyAdmin creates an API key with an expiry date, appropriate permissions, and access to all or selected tables. The full key is shown once and must be stored securely by the sending system.
Use a separate key for every integration so access can be monitored, rotated, and revoked independently. API availability depends on the active subscription plan.
Connect the transfer to existing analysis
When data reaches the selected table, use it in prepared reports, charts, pivot analyses, and dashboards. Business users continue working in familiar views while a technical team maintains the system connection.
- Agree on business-field mapping before the first transfer.
- Use documentation and examples to validate the connection.
- Monitor last use and plan a secure key rotation.
- Revoke any lost, compromised, or unnecessary key.
Example: new invoices without a manual export
When a new invoice is recorded in a business system, the integration sends approved fields to Smart Report. The revenue report and sales dashboard then use the added records without waiting for a monthly file transfer.
Automate a stable, controlled process
Start with one well-defined source, restrict access, and validate incoming data quality. Expand automation only after the first data flow is dependable.
